About the role

As Circle's Tools & Systems Administrator, you will oversee and manage the IT, internal tools, and systems infrastructure that supports Circle’s People team and broader organization.

Reporting to the Finance team, you will ensure our technical ecosystem —including platforms like Rippling, Slack, Google Workspace, Notion, and others— is secure, efficient, and well-maintained. You will be the primary liaison between People, IT, Security, and Finance teams. Your role will focus on system administration, access control, cost tracking, compliance support, and basic automation —ensuring our tools and systems align with industry best practices and organizational needs.

What you'll be doing

  • Manage Circle’s Tech Stack – Administer and oversee internal systems, including user provisioning, de-provisioning, role-based access controls, and permissions management. Manage key platforms such as Rippling (HRIS), Greenhouse (ATS), Google Workspace, Slack, Circle (our platform), and other company-wide tools.
  • Vendor & Licensing Management – Track software licenses, monitor associated costs, and conduct tool audits to optimize spend and manage renewals.
  • IT Support & Troubleshooting – Serve as the first point of contact for system-related issues, providing hands-on support for internal stakeholders and escalating complex cases when necessary.
  • Process Optimization – Identify inefficiencies, gaps, or risks in current workflows and implement scalable, automated solutions to improve productivity and system reliability.
  • Automation & Integrations – Maintain and optimize system integrations, leveraging automation tools to streamline processes and reduce manual tasks.
  • Security & Compliance Support – Work closely with IT, Security, and Compliance teams to implement and maintain security protocols such as SSO and 2FA, while supporting efforts to achieve and maintain SOC 2 and GDPR compliance.

What you'll need to be successful

  • Strong alignment with our values, find our values on our career page if you haven’t read up on them yet
  • You are proficient in English (spoken, written, and reading) at a CEFR Level C2 / ILR Level 5.
  • 3+ years of experience in systems administration, IT support, or a related field, with hands-on technical management of enterprise tools.
  • Experience managing user access, security settings, and compliance requirements for enterprise systems.
  • A structured, document-first approach to managing systems and workflows, with a focus on efficiency and scalability.
  • Hands-on experience providing IT support, diagnosing system-related issues, and optimizing tool configurations. You enjoy problem-solving and improving workflows.
  • Familiarity with SSO, 2FA, API integrations, and automation tools (e.g., Zapier) to streamline processes and enhance system connectivity.
  • Ability to track software licenses, manage renewals, and monitor costs. Proficiency in generating reports, audits, and dashboards using Google Sheets, BI tools, or SQL.
  • Strong ability to work cross-functionally with Finance, IT, Security, Legal, and People teams to ensure systems align with business needs.

Bonus points

  • You’ve handled SaaS license tracking, renewals, and vendor management to optimize costs and system efficiency.
  • You’ve administered and optimized company-wide tools like Google Workspace, Slack, SSO/Identity Management, and other core enterprise platforms.
  • You’ve built workflow automations using Zapier, APIs, webhooks, or custom integrations to streamline processes and improve efficiency.
  • You’ve implemented and managed authentication tools like Okta to unify user access across platforms.
  • You’ve conducted SOC 2, GDPR, or internal IT audits to ensure system configurations meet compliance requirements.

$85,000 - $100,000 USD per year

The cash compensation range shown is a starting point. In addition to equity, benefits and perks, your cash compensation is subject to an annual review and increase on a once per year basis.
