ABOUT ICMEC AND OUR PROJECTS

One child missing, exploited, or abused is one too many.

The International Centre for Missing and Exploited Children (ICMEC) is a Non-Governmental Organisation (NGO) that fights against child sexual exploitation and the disappearance of children around the world. ICMEC's headquarters is in Alexandria, Virginia, United States, and has representation in Australia, Brazil, Colombia, El Salvador, Guatemala, Honduras, India, Kenya, the Philippines, Portugal, and Singapore. Since its founding, ICMEC has worked alongside governments, law enforcement, industry, and civil society organizations to make the world safer for children by advocating for better global and regional child protection laws, collaborating with international partners, and training professionals working with children or on the frontlines of child protection in over 120 countries.

You will be part of the European team at ICMEC, working on our European Commission-funded Projects HEROES and ALUNA.

The HEROES project (Novel Strategies to FigHt Child Sexual Exploitation and Human TRafficking Crimes and PrOtect thEir VictimS) aims to fight Trafficking of Human Beings (THB), Child Sexual Abuse (CSA), and Child Sexual Exploitation (CSE) by developing a comprehensive solution that is based on three main pillars: Prevention, Investigation, and Victim Assistance. Its main objective is to develop technologies that will contribute to the effective response of stakeholders in all three components. Moreover, the project aspires to establish new innovative strategies that, in the short-, medium-, and long-term, will improve the way in which Law Enforcement and NGOs carry out criminal investigations, assist rescued victims, and prevent the occurrence of these crimes. The project started in December 2021, for a period of three years, and brings together 24 partners from Europe, Asia, and Latin America.

ALUNA, meaning “The Great Mother” in Colombia, focuses on developing child protection-based strategies to fight against sexual abuse and exploitation crimes. It expands on the research and technologies developed as part of HEROES to provide key stakeholders with the necessary tools, data, and knowledge to efficiently fight against child sexual abuse and exploitation. The project starts in June 2023, for a duration of two years, and brings together 16 partners from Europe, Latin America, and the Middle East.

POSITION DESCRIPTION

We are seeking a motivated and dynamic Project & Grant Administrator to join our National Capacity Building team under the European Commission-funded projects HEROES and ALUNA and wider NGO team. In this role, you will work closely with our VP of National Capacity Building, our HEROES / Europe Program Manager, and the ICMEC National Capacity Building Team to support our current projects' administration and management, and research, identify, write proposals, and apply for grant opportunities that are aligned with our wider organisational goals. You will be responsible for managing grant applications from beginning to end, and support of the project administration of HEROES and ALUNA, ensuring that deadlines are met and projects are delivered on time and within budget.

We are looking for a detailed-oriented, organised, creative, and passionate person interested in children's rights, empowering vulnerable individuals, and having a positive impact internationally. The ideal candidate will have experience with grant administration and management and at least one successful grant proposal they have written and submitted.

Location: Remote / working from home. A plus if you are based in Europe and close to GMT/EST time zone.

Contract: full-time, two-year contract from June 2023 to June 2025, with the possibility to extend as new projects come through.

Responsibilities:

  • Current Grant Administration
    • Support the HEROES / Europe Program Manager on the HEROES and ALUNA project administration and management.
    • Monitor project progress, identifying and resolving issues as needed.
    • Communicate with project stakeholders to ensure project goals are met and deliverables are completed on time and within budget.
    • Track project expenditures and ensure that funds are allocated appropriately.
    • Maintain, track, and update effort tracking to ensure compliance with time and effort policies.
    • Develop and maintain project documentation, including project plans, progress reports, and budgets.
    • Work with contractors to ensure activities are done on time and payment is tracked.
    • Oversee accurate completion and timely routing of internal paperwork and disclosures.
    • Respond to inquiries from Project Coordinators throughout the project lifecycle.
    • Negotiate with coordinators and funders on project extensions if needed.
    • Find opportunities to present project activities and findings in Europe and beyond.
    • Keep up-to-date knowledge of other European Commission-funded and other complementary projects.
    • Develop and maintain a library of reference documentation, including such information as funding agency requirements, forms, and other pertinent information.
  • New Grant research and application
    • Research and identify potential grant opportunities, and develop grant proposals that align with the NGO's mission and strategic goals.
    • Work with colleagues, partners, grant funders, and other stakeholders to develop project scopes, timelines, and budgets.
    • Manage the grant application process from start to finish, including tracking application deadlines, submitting proposals, and following up with funders.
    • Monitor and analyse new funding opportunities, especially provided by the European Commission, as well as large funding organisations such as End Violence Against Children, the Oak Foundation, Governments, etc.
  • Perform other related duties as assigned.

Required Experience and Proficiencies: 

  • Experience writing successful grant proposals in an NGO environment is a plus.
  • Experience in administration and/or project management in a fast-paced, multi-project environment.
  • Knowledge of grant application processes, regulations, and compliance requirements.
  • Effective oral and written communication as well as editing skills.
  • Ability to efficiently manage multiple large-scale projects and meet deadlines.
  • Demonstrated proficiency with MS Office Suite, and experience with project management software, such as Asana or Trello, is a plus.
  • Ability to summarise large amounts of information in a clear, accurate, and straight-to-the-point manner.
  • Demonstrated organisational skills and ability to pay close attention to detail.
  • Ability to organise and prioritise work.
  • Excellent analytical, communication, interpersonal, and follow-through skills.
  • Strong research and analytical skills.
  • Ability to work independently and collaboratively with team members and program staff.
  • Ability to innovate and be creative.
  • A strong interest in children's rights, empowering vulnerable individuals, and having a positive impact internationally.
  • Proficient in English and at least one other language, such as Spanish (a strong plus as our team has many Spanish speakers), German, Portuguese, Greek, or French.

Education:

  • Bachelor's degree in business administration, project management, or a related field is a plus, but work experience in a relevant role is also accepted.

Experience: 

  • Have at least one professional experience in project administration - for instance, through a work contract, an internship, or freelance work.
  • Have written and submitted one successful grant proposal.
